Canton Fair Invitation: Registration, Visa and Other Routes

You want to visit the Canton Fair in Guangzhou, but you do not know where to start. Do you need an invitation? Who issues it? Is it enough for a visa? The good news is that the Canton Fair invitation for foreign buyers is free, and you can get it yourself in minutes if your details are ready. In this guide you will learn how to register step by step, how to use the invitation in your visa application, and what alternatives you have if online registration does not work.

What is the Canton Fair invitation and why do you need it?

The Canton Fair, officially the China Import and Export Fair, is one of the largest trade fairs in China and the world. It is held twice a year at the Pazhou exhibition complex in Guangzhou: a spring session in April and May and an autumn session in October and November, each divided into three phases by product category. Hundreds of thousands of buyers from around the world attend to meet Chinese factories and trading companies. For how categories are spread across the phases, see our Canton Fair guide to dates and phases.

The invitation is an electronic document the fair issues to a foreign buyer after registration. It matters for two reasons:

  • The visa: you attach it to your Chinese visa application as evidence that your visit is for business.
  • Free entry: your registration details are used to collect the buyer badge that lets you into the halls without paying an entry fee.

Choose your session and phase before you register

Registration itself takes little time. The decision that comes before it matters more: which phase will you attend? Each session runs for about three weeks, and each phase lasts around five days with different product categories. The general split is roughly as follows, with changes from one session to the next:

  • Phase 1: electronics, household appliances, lighting, machinery, tools, vehicle parts, building materials and energy.
  • Phase 2: consumer goods, kitchenware, gifts, home decor, furniture and some building materials.
  • Phase 3: clothing, textiles, footwear, bags, toys, baby and children's products, stationery, food and health care products.

Check the official category list for your target session before you book flights, because some categories move between phases. If your products span two phases, plan to stay two weeks instead of one, or choose the phase that covers most of your purchases. The main route: online pre-registration on the official website

The simplest way to get the invitation is to pre-register as an overseas buyer on the official Canton Fair website. Once registration is complete you receive the electronic invitation and can use it in your visa application. Look for the Buyers section on the site and then the pre-registration option, and avoid any site that asks you to pay for the invitation itself.

What to prepare before you start

  • A passport valid for at least six months from your travel date, and a clear scan of the data page.
  • A recent personal photo on a light background, in the size the form asks for.
  • Your company's name, address, phone number and website if it has one, ideally matching your trade licence.
  • An email address you check daily, because the invitation and confirmation messages go there.
  • The product categories you are interested in and the phase you plan to attend.
  • Details of anyone travelling with you: every visitor registers in their own name and receives their own invitation and badge.

Steps to register and download the invitation

  1. Go to the official Canton Fair website and choose the Buyers section, then pre-registration.
  2. Create an account with your email address and activate it from the confirmation message.
  3. Enter your personal details exactly as they appear in your passport, letter for letter, including the order of your names, the passport number and its expiry date.
  4. Add your company details, its activity and the product categories you are looking for.
  5. Upload your photo and passport scan if requested, and make sure both are clear.
  6. Review every field, then submit the application.
  7. When the invitation is issued, download it from your account or email and print two copies: one for the visa file and one to carry when you travel.
  8. Keep your registration number or collection code, as you will need it to collect your buyer badge.

When should you register?

Register six to eight weeks before you travel if you need a visa, because the embassy may take one to three weeks depending on the country and the season, and may ask for extra documents. If you do not need a visa, registering early is still better: you collect your badge faster and avoid the registration queues on opening days. Demand for hotels and flights to Guangzhou also rises before every session, so booking early saves you money too.

Using the invitation for your China visa

The invitation issued by the Canton Fair helps speed up your entry visa, but the Chinese embassy or consulate in your country decides whether it is enough. You may be asked for further documents, so do not book a non-refundable ticket before the visa is issued.

Do you need a visa at all?

It depends on your nationality. Holders of some Gulf passports enter China without a visa for short stays, either under a mutual exemption agreement, as with the UAE, or under unilateral exemption policies that China announces for set periods and then extends or adds countries to. These lists change, so check the official website of the Chinese embassy in your country at least a month before you travel. Holders of passports not covered by an exemption, including Yemen, need a business visa, and the invitation is a core part of their file.

If you live outside your country of nationality

Many Yemeni and other Arab importers live in Saudi Arabia, the UAE or Oman. In that case you can usually apply for the visa in your country of residence if your residence permit is valid for long enough, attaching a copy of your residence card. Confirm the conditions on the website of the Chinese Visa Application Service Center in that country, and make sure the company address in your fair registration is consistent with the documents you submit.

Usual documents for a business visa

  • Your original passport, valid for at least six months with at least two blank pages.
  • The completed and signed visa application form, and a photo meeting the specifications.
  • A printed copy of the Canton Fair invitation.
  • Your flight and hotel bookings in Guangzhou.
  • Your trade licence, or a letter from your employer stating your business and the purpose of the trip.
  • A bank statement or other proof of funds if the embassy asks for it.

The list differs by country and visa centre, so always follow the list published on the website of the Chinese embassy or visa application centre in your country.

Alternative ways to get an invitation

If you cannot register online, or you need a special invitation for a particular reason, you have these options:

  • The official Canton Fair contact centre: you can contact it to request a special invitation, and it has the details of how one is issued.
  • The Economic and Commercial Counsellor's Office of the Chinese embassy: approach the economic and commercial section of the embassy or consulate general in your country for support and guidance.
  • Partner organisations abroad: some chambers of commerce and bodies that work with the fair can issue invitations to their members, so ask the chamber of commerce in your city.
  • The Canton Fair representative office in Hong Kong: suitable if you live in or near Hong Kong, and it can issue an invitation directly.
  • Chinese foreign trade companies: if you already deal with a Chinese supplier, ask it for an invitation in your name, as many exhibitors invite their customers.

Whatever the source, make sure your name and passport number are written accurately and the dates cover your visit. An invitation from a Chinese supplier links you to that supplier in the embassy's eyes, so choose one you have actually dealt with or plan to, and ask for a copy of its business licence in case the embassy requests it. Registering on the official site remains the fastest route in most cases.

After the invitation: preparing for the trip and using your badge

Practical preparation before you travel

The invitation and visa are only half the preparation. Sort out these points before you fly so your first days are not lost solving them:

  • Payments: most shops and taxis in China rely on Alipay and WeChat Pay. Both now accept foreign Visa and Mastercard cards, so install them and link your card before you travel, and carry some cash in yuan as a backup.
  • Connectivity: services such as WhatsApp and Google do not work directly in mainland China. Get a SIM or eSIM with an international roaming plan, and save your suppliers' contacts on WeChat.
  • Business cards: print cards in English and Chinese with your WeChat ID, as WeChat is the main channel for talking to suppliers.
  • Accommodation: choose a hotel near the metro line to the Pazhou complex, as the area around the fair is very crowded at peak times.
  • Interpreting: many exhibitors speak English, but detailed negotiation on specifications is easier with an interpreter who knows trade terms.

Collecting your badge and working the fair

The invitation alone does not get you into the halls; the badge you collect with it does. First-time buyers collect their badge at designated registration points, usually at the exhibition complex, some large hotels and arrival points in the city, using their passport and registration number. The badge gives free entry for the whole session. Keep it afterwards, as it may be usable at later sessions; check this when you collect it. If you lose it you will need a replacement, which may carry a fee.

Once inside, the real work begins. Plan each day with a list of booths and specific questions, and record prices, minimum order quantity (MOQ) and production time for every supplier. Read how to turn your Canton Fair visit into real deals, then review the best negotiation strategies with suppliers at the Canton Fair before your meetings start.

The visit does not end when the fair does. In the first week after you return, message the suppliers you shortlisted, order paid samples from at least two or three of them, and compare the samples with what you saw on the stand. A supplier that replies quickly and clearly after the fair is usually the one that will keep to production dates later.

Common mistakes when applying for the invitation

  • Writing your name differently from your passport, such as leaving out your father's name or changing the order, so the embassy cannot match the invitation to the passport or badge collection is delayed.
  • Registering a few days before travel, then waiting for the visa and missing the phase you wanted.
  • Paying someone who claims to sell the official invitation. The basic buyer invitation is free from the official website.
  • Booking a non-changeable flight before the visa is issued.
  • Attending the wrong phase. Each phase shows different categories, so visiting Phase 1 when you are looking for clothing wastes your trip.
  • Relying on the invitation without company documents, so the embassy asks for proof of your business and the file is delayed.
  • Not keeping a copy of the invitation and badge, so you have to register again or pay a replacement fee at the next session.
  • Registering with an email address nobody checks, so the confirmation or a request to correct your details goes unseen.

What to do this week

Decide which session and phase suit your products, then check your passport's validity and prepare a photo and your company details. Register on the official website and download the invitation, and open the website of the Chinese embassy in your country to see whether you need a visa and which documents it asks for. Then book a hotel near the Pazhou complex, as prices rise as opening day approaches. For a wider picture of what awaits you, read why importers go to the Canton Fair and how to make the trip pay. 本文解答的问题

Is the Canton Fair invitation free?

Yes. The basic invitation for foreign buyers is free when you pre-register on the fair's official website. You use it for your visa application, and your registration details let you collect the buyer badge that gets you into the halls without a fee. Be wary of anyone who asks you to pay for the invitation itself.

How do I get a Canton Fair invitation letter?

Go to the official fair website, choose the Buyers section and then pre-registration. Create an account, enter your details exactly as in your passport along with your company details, upload your photo and submit. Once the invitation is issued, download it from your account or email and print it.

Is a Canton Fair invitation enough to get a China visa?

The invitation helps speed up the visa, but the decision rests with the Chinese embassy or consulate in your country. It may ask for extra documents such as your trade licence, hotel and flight bookings and a bank statement, so check its published list before you apply.

Do Gulf citizens need a visa to visit the Canton Fair?

It depends on nationality. Some Gulf countries are visa-exempt for short visits under mutual agreements or under exemption policies China announces for set periods, and these lists change. Check the Chinese embassy website in your country at least a month before you travel.

What if I cannot register for the Canton Fair online?

Contact the fair's official contact centre, the economic and commercial section of the Chinese embassy in your country, or your local chamber of commerce if it works with the fair. You can also ask a Chinese supplier you deal with for an invitation, or the fair's representative office in Hong Kong if you are nearby.
